Meet Entry Instructions
We understand that with summer travel plans it is often impossible to make every swim meet. To accurately track which swimmers will be available for meets, parents are required to log-in online and indicate whether your child will be attending each upcoming meet. This is called “Meet Entry”.
While designating your swimmer’s attendance for the meet you can also optionally sign-up for volunteer shifts. You will be required to sign-up for at least two volunteer shifts at home meets this season. A reminder with the deadline to check-in will be sent each week.
Steps to Meet Entry
1. Login to the Site
If you have any problems logging in, click here to reset the password using the email address you entered during registration. If you continue to have problems, please send an email to [email protected].
2. View Upcoming Events

3. Sign up for Volunteer Assignments
To run our meets we need 30-40 volunteers, here you can sign up for meet volunteer jobs, if you haven't already done so. Each family is required to volunteer at least 2 times during the season. For more on Volunteer Sign-Up CLICK HERE.
4. Select Edit
5. Declare your Swimmer
Declare whether or not your swimmer will be attending the meet or not.
6. Select Events
Note in the upper right hand corner the number of events that a swimmer is allowed.
7. Indicate Relay Availability
Indicate if your swimmer is available for relays at the meet.
Note that relays are assigned based on seed times.
8. Leave a Note to Coach (only if needed)
9. Select Save
Event Selection
Although we will do our best to follow the requested events, the head coach will make the final determination on event selection and may add, change, or subtract events as needed for the betterment of the team and the swimmer.
Meet Entry Closed
Meet Entry typically closes at Noon on the Monday prior to the meet.
If the "Meet Entry" button is grey/closed and you hadn't selected whether or not your swimmer is attending, then it will be assumed they are not attending.
Please make every effort to declare your swimmer, even if you plan on not attending.
Meet Results
On the Meets & Results page you will be able to see the results when they are posted. if you cannot find the meet make sure to select "Past Events" in the top right corner.
Meet results will also be available on the mobile Swimtopia App.
Meet Results will be posted as soon as available.
